Booking terms and conditions
How to book, which documents you need and how payment works.
1. Booking a trip
1.1. You can book by phone, online or by email at office@sherytour.bg. A reservation is considered valid once a Package Travel Contract has been signed and a deposit has been paid.
2. Required documents and booking conditions
2.1. For all travellers on programmes that include countries outside the EU, with the exception of North Macedonia: a valid international passport with at least 6 months of validity remaining on the date of return from the trip. When travelling to Turkey, an identity card must be carried in addition to the international passport.
2.2. For travellers over 18 on programmes that include only EU member states: an identity card.
2.3. For children under 18: a valid international passport with at least 6 months of validity remaining on the date of return from the trip.
2.4. For children under 18 travelling alone or with one parent: a notarised declaration in Bulgarian from both parents consenting to their child travelling abroad, including the notary's telephone number. The original declaration and one copy must be carried during the trip. If the child's surname differs from the surnames of the accompanying parents, a document proving their family relationship to the child (a birth certificate or another document) must also be carried.
2.5. For children under 18 travelling alone or with one parent on a programme passing through the territory of Croatia: a notarised declaration translated into Croatian and legalised.
2.6. A European Health Insurance Card.
2.7. A Package Travel Contract: signed in 2 copies when booking a specific programme.
3. Booking deadline and signing the contract
To confirm your trip, you need to submit your documents, sign a contract and pay as follows:
- for coach programmes: no later than 10 days before the departure date;
- for air programmes: no later than 30 days before the departure date.
If places are still available, bookings are accepted after these deadlines as well.
4. Prices, deadlines and payment
4.1. The price of each trip includes the services described in detail for each programme.
4.2. The prices under all signed contracts are guaranteed by the agency and are not subject to change.
4.3. Payment method: payment can be made by bank transfer, either in full or in instalments.
4.4. Payment in instalments is possible in two parts. The first instalment is a deposit of between 30% and 50% of the price of your chosen trip plus any additional services requested. The second instalment, up to the full price of the trip, is due: for coach programmes no later than 10 days before the departure date; for air programmes no later than 30 days before the departure date, but no later than the day the flight ticket is issued.
5. Visa requirements
The agency bears no responsibility if a visa requirement is introduced for a country included in a programme chosen by the travellers. If a traveller withdraws from the trip because a visa requirement was introduced after the Package Travel Contract was signed, the Client owes the cancellation penalty.
Citizens of other countries must check and meet the passport and visa requirements at the relevant embassies themselves. If these requirements are not met, the agency bears no responsibility and any inconvenience or damage arising from this is at the expense of those affected.
6. Hotels
Travellers are accommodated in hotels of 5-star to 1-star category, as specified for each programme. Accommodation is in double, triple or quadruple rooms with a private bathroom, or in two-room apartments with a shared bathroom. Hotel categories are determined according to the European standard but differ between countries. Not all 3-star hotels have air conditioning and a television. In some hotels the use of air conditioning and television is paid for separately at the hotel reception.
Please note that check-in at hotels throughout Europe is usually after 2:00 pm. Where possible, check-in may be earlier.
6.1. If a traveller is travelling alone and explicitly wishes to be accommodated separately, the single-room supplement is mandatory.
6.2. If you request a room with three beds, please note that the third bed is a folding bed, a sofa bed or a camp bed, that is, not a regular bed. Accommodating travellers other than children under 12 on an extra bed is not recommended.
6.3. In hotels, please keep quiet and tidy and do not leave food remains or bottles. If you use the minibar, the telephone or a paid video channel, do not forget to pay for these services at reception.
6.4. The agency bears no responsibility for the loss of valuables, money or documents left in the hotel room. Searching for items forgotten at the hotel is at the traveller's expense.
6.5. At buffet meals, including breakfast, taking food out of the hotel restaurant is not permitted under any circumstances. Otherwise fines are imposed on the spot. The agency bears no responsibility for this.
6.6. On half-board trips, dinner is served in the restaurant of the hotel where the travellers are staying or in its immediate vicinity.
6.7. Drinks (alcoholic and soft) during meals (breakfast, lunch or dinner) are paid for separately, unless it is explicitly stated that they are included in the price.
7. Transport and luggage
7.1. Coach trips are operated with comfortable tourist coaches intended for tourist service and licensed by the Ministry of Transport, equipped with air conditioning, a radio and microphone, a second door, individual lighting and ventilation for each traveller, adjustable seats and reclining backrests, and more. Smoking is not allowed in the vehicles during trips. Hygiene and safety rules must be observed. Rest stops are made every 3 to 4 hours during the journey.
7.2. Air trips are operated with flights of various airlines. You must arrive at the airport for check-in at least 2 and a half hours before the flight time stated on the ticket. Many airports do not make voice announcements and you need to follow the electronic boards for instructions. In the event of a flight delay caused by the traveller, the airline or the airport, natural disasters, strikes, security measures or the resolution of a technical problem, the agency bears no responsibility and does not compensate for missed services.
8. Times
All published times are local. All published arrival times are approximate. Delays caused by force majeure or circumstances beyond our control are possible. In these cases the agency bears no responsibility for unused services or lost time.
9. Special requirements
You need to inform us of all your special requirements before signing a Package Travel Contract, so that we can respond to them. We may need to incur costs to fulfil your special requests, and for some of them you may need to pay an additional price, in advance or on the spot.
10. Force majeure and circumstances beyond our control
During the trip, these include deteriorating weather conditions, difficult road conditions, delays at border crossings, assistance given to a traveller, national and religious holidays, mass public events, strikes, military and political conflicts and restrictions, natural disasters, changes to the opening hours of museums and sites, a technical problem or breakdown of the vehicle en route, and other exceptional circumstances. In these cases we reserve the right to rearrange elements of the programme, make changes to it and act according to the specific situation, without the agency bearing responsibility or owing compensation.
11. Minimum number of travellers
Trips take place with a minimum number of travellers, specified for each programme. The agency reserves the right to cancel a departure date if the minimum number of travellers required to run the programme is not reached up to 7 days before the departure date.
12. Changes to the Package Travel Contract, withdrawals and cancellations
All changes and withdrawals are made in person by the Client and submitted in writing at the office where the traveller booked.
The penalties withheld when a traveller withdraws from a trip, regardless of the reason, are as follows.
For coach programmes:
- up to 30 calendar days before the start date of the trip: no penalty;
- 29 to 20 days: 50% of the deposit paid;
- 19 to 14 days: 75%;
- less than 14 days: 100% of the amount paid.
For air programmes:
- from the day after booking until 91 days before the departure date: 10% of the basic price of the trip;
- from the 90th day until the day the flight ticket is issued: 35% of the basic price of the trip;
- from the day the flight ticket is issued until 29 days before the departure date: 35% of the total price of the package plus the cost of the flight ticket and airport taxes;
- from the 28th day until the day of departure: 100% of the total price of the package plus the cost of the flight ticket and airport taxes.
If a flight ticket is cancelled, the penalty is 100%. Changing the date or destination of an already confirmed trip is possible, with a cancellation fee of 5% of the basic price of the trip excluding the cost of the flight ticket withheld in addition to the penalties listed. Where a flight ticket has been issued, an additional cancellation fee set by the airline also applies.
The agency reserves the right to cancel an individual traveller's trip if incomplete, inaccurate or false documents are submitted or the submission deadlines are not met. A traveller's failure to appear at the departure point is considered a withdrawal from the trip. A traveller's failure to appear for an interview at a Consular Section, where required, is considered a withdrawal from the trip. In these cases the penalties listed apply.
Deadline within which the client must notify the agency that they are transferring their trip to a third party:
For coach programmes:
- without a change to the booked accommodation: from the day after booking until 60 days before the departure date, no penalty. From 59 days to 3 working days before the departure date, the Client owes a penalty of 5% of the price of the trip. After this deadline, transferring to a third party is considered a withdrawal from the trip and the withdrawal penalties apply;
- with a change to the booked accommodation: from the day after booking until 60 days before the departure date, no penalty. After this deadline, transferring to a third party is considered a withdrawal from the trip and the withdrawal penalties apply.
For air programmes: from the day after booking until the day the flight ticket is issued, but no later than 90 days before the departure date, no penalty, provided the booked accommodation does not change. Changing the accommodation or transferring to a third party after the 90th day is considered a withdrawal from the trip and the withdrawal penalties apply.
When a Package Travel Contract is signed at the last minute, within the last 9 (nine) days before the departure date, the Client is not entitled to withdraw without owing a penalty and compensation.
Changing the date in the Package Travel Contract is considered a withdrawal from the trip. In these cases the withdrawal penalties apply.
The conditions may vary depending on the specific programme.
